Privacy Policy

How SyncMAX collects, uses and protects personal information, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Last updated October 13, 2026

Who we are

SyncMAX ("we", "us") provides project management and project controls consultancy, PMI and Primavera P6 training, and business IT services. We are based at 472 Taunton Road West, Oshawa, ON, Canada. Questions about this policy or your information go to our privacy contact at info@syncmax.ca.

What we collect

  • Enquiries: your name, company, email, phone, the service you are interested in and your message when you use our contact form or email us.
  • Clients: contact and billing details, purchase orders, contracts and project information you share with us to deliver a service.
  • Payments and billing: billing name, email, address, GST/HST or business number, and payment history. Card and bank details are entered directly with our payment processor, Stripe. We do not see or store full card numbers.
  • Training: learner names, emails, course progress, quiz and exam results and certificates, for our own courses and for the cybersecurity awareness training we run for client companies.
  • IT services: device details, user accounts and support tickets needed to manage and support your devices and Microsoft 365. We access your files or systems only as needed to deliver the service you asked for.
  • Website use: basic technical data (IP address, browser, pages requested) kept in our host's server logs for security.

How we use it

  • To answer enquiries and prepare quotes.
  • To deliver consultancy, training and IT services, and to issue certificates.
  • To invoice, take payments, collect sales tax, keep tax and accounting records and prevent fraud.
  • To send service messages such as receipts, renewal reminders and support updates.
  • To meet legal obligations.

We do not sell personal information. We send marketing email only if you ask for it, and you can unsubscribe at any time.

We collect, use and share personal information with your consent, which may be express (for example, ticking a box) or implied by your request (for example, sending us an enquiry). You can withdraw consent at any time, subject to legal or contractual limits. If you do, we may not be able to provide some services.

Who we share it with

We share information only with service providers that help us run our business. They may only use it to provide their service to us:

  • Stripe: payments, invoices, subscriptions, sales tax and the customer billing portal.
  • GoDaddy: website hosting.
  • Microsoft 365: business email and documents.
  • Google Fonts and Unsplash: our pages load fonts and images from them, so they receive your IP address and browser details.
  • Training and video-hosting providers used for our online courses, described in the course platform's own privacy notice.

We may also disclose information when the law requires it, or to professional advisers such as our accountant.

Storage outside Canada

Some of these providers store or process information outside Canada, including in the United States. While it is there, it is subject to the laws of that country, and those countries' authorities may be able to access it.

Cookies and local storage

This site does not use advertising or analytics cookies. Your browser stores only your light or dark display choice. Our host, GoDaddy, adds a performance-monitoring script to our pages. Stripe sets its own cookies on its payment, invoice and billing pages for security and fraud prevention.

How long we keep it

We keep information only as long as needed for the purposes above. Billing and tax records are kept for at least six years, as the Canada Revenue Agency requires. Enquiries that do not become work are deleted within two years. Training records are kept for as long as a certificate needs to be verifiable, or as agreed with the client company.

How we protect it

We use encrypted connections (HTTPS), multi-factor authentication on business accounts, access limited to people who need it, and reputable providers. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.

Your rights

You can ask to see the personal information we hold about you, have it corrected, or have it deleted where we are not required to keep it. Email info@syncmax.ca. We will reply within 30 days. Clients can update billing details themselves in the billing portal.

If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

We may update this policy. The date at the top shows the latest version. For significant changes we will tell current clients by email.
